What should a commercial gym procurement brief include?
A commercial gym brief should settle the facility use, exact equipment identity, verified room and access conditions, installation boundary, warranty, service and handover. Missing evidence in any of those areas leaves the proposal incomplete.
What the operating brief settles
Record the facility type, supervision, access arrangements and expected pattern of use. A hotel fitness room and a coached training studio can need different equipment choices. State which uses are essential and which can wait.
List the equipment functions you need before naming products. Ask each supplier to explain substitutions against the same functions. A replacement model should be a visible decision, not a quiet change in a quotation.
What makes the evidence pack comparable

- Current product manual, dimensions and operating space.
- Written suitability for the intended facility use.
- Delivery, assembly, commissioning and handover scope.

What a complete handover includes
Give equipment, flooring, access and building services an owner. Record who checks the route into the room and who resolves a failed delivery or installation inspection. Treat handover as a documented acceptance step, with manuals, serial references and a maintenance owner.
